Typical Cape Town Holiday Rental Management terms
We can care-take and oversee properties as follows:
Property inspection: We will do periodic property checks, normally weekly when property is unoccupied or every three months with a long term tenant. For unoccupied property, we may deem it necessary to check after a major storm or the first heavy rains of the season.
Security: We will be listed by the security company as a contact number in the event of an alarm activation and will liase with the security personnel. Please advise the security company in the event of this contract being signed that White Knights has access and please furnish us with the telephone code for false alarms.
Garden: We can either supervise a gardening company to provide periodic maintenance or will personally, mow, weed, replant, cut back, clean decks and outside stairs and check irrigation.
Pool: We can maintain the swimming pool or oversee a pool company providing maintenance.
Cleaning: We can clean after any tenants leave the house and if necessary will clean before anyone arrives to take occupation. If a maid is required while tenants are in residence, We will endeavor to provide this service, with conditions.
Repairs: We can arrange for any repair work to be done on the property with the consent of the owner (unless in an emergency). We have an established network of tried and tested service providers (builders, electricians, carpet cleaners, pool experts etc). We will supervise and snag after work has been completed.
Inventory: We can prepare a detailed inventory of all items currently held in the property.
Bills & post: Arrangements can be made for us to pay bills (rates, water, electricity, telephone etc). It may be easier to open a bank account in the name of the house for all monetary transactions to do with the property in which case White Knights would provide monthly statements. We will clear the post-box and deal with the post received.
Other: We services can also cover running errands, airport collections and even to buying and delivering presents to your special relatives and friends in Cape Town. Every home and homeowners needs are different and we will endeavour to provide the service best suited to your requirements.
 
Typical Terms and inclusions
1. The minimum charge will be a monthly retainer of Rx. This will cover the first 5 hours of work. Cleaning and gardening are not included in the retainer.
2. Thereafter, work is charged hourly (or part there of) at a rate of Rx
3. Working hours charged at normal rates are from 8am to 5pm, Mondays to Fridays. Overtime rates at double the standard hourly rate will be charged for all work done outside these hours. We are not on 24 hour call. (Email correspondence will be read once a working day, usually around 8am, communication on more urgent matters should be made using cellphones.
4. The owners of the property will pay any associated costs (e.g. cleaning materials, pool chemicals, postage, etc).
5. Maids & gardeners have a standard daily (9am to 4pm) rate of Rx (double rates are charged for Saturdays, Sundays and Public Holidays), and whatever supervision time is necessary at the standard rate of Rx per hour. Washing is charged at R45.00 per load. Windows will be treated separately from cleaning the house.
6. Work to facilitate changeover of tenants within the same working day will carry an additional fee of Rx.
7. If notification of changeover of tenants is less than one working day or is over a weekend, a fee of Rx will be charged.
8. The sourcing and purchase of replacements of losses and breakages which are identified during inventory checking, will carry the hourly rate of Rx (clients need to establish whether outgoing tenant, agent or themselves are to carry this cost).
9. Any bills or expenses paid for by us on behalf of our clients, will carry a Rx fee for any amount up to Rx and Rx for any amount of Rx and over.
10. Clients will be invoiced at the end of each month and payment is on presentation. Payment can be made directly to xxxx Accumulative interest at the rate of 10% per 30 days will be charged for late payment.
